Country Walk Board Meeting on June 12, 2007 

The meeting was called to order at 7:02 pm in the Clubhouse. In attendance were:  Ed De Iulio, Rocco Cioffoletti, Bill Swedberg, Steve Lapham, and Warren Adams.  Jay Jones was present from 8:00 to 8:45.

 

Treasurer Rocco Cioffoletti distributed an updated budget.  Items of discussion relative to the budget are below.

 

  • Bush hogging will henceforth be included with landscape maintenance.
  • There is a $75 deposit to Duke Power for a power source for the sprinkler system on Country Walk Lane (on the old Knoll House property).  The sprinkler system formerly received powered via the old Knollwood House.  When this property was torn down, power was supplied by the Fleres family.  The deposit is required to place a meter on the Knollwood property so that the association can pay for the electricity to run its sprinklers.
  • Budgeted expense of $500 for the directory may be reallocated to other categories.  The directory is updated every second year.  The changes in a single year are not sufficient to incur the additional expense on a yearly basis.  Pool rules will be placed within future directories.  This year’s directory was funded from the Office Supplies line item in the budget.
  • Irrigation maintenance is completed.  The total cost was $460.  The majority of this expense is due to construction.  Attempts will be made to have the subdivision reimbursed.
  • Two bids were solicited for painting portions of the Clubhouse.  Based on price, the contract will go to B&S Painting, assuming that favorable references are submitted to Rocco.  They will paint the stairwell, downstairs room, small room on the ground floor, and woodwork for $1500, including Benjamin-Moore paint.  They will also paint the white portions of the guard gate for an additional $400, bringing the total to $1900.  The Board decided that the two Clubhouse bathrooms do not require painting (at an additional cost of $100 per bathroom), and that the green portion of the guard gate does not need painting (at an additional cost of $200).
  • Homeowners are 100% compliant in dues for 2007.

 

Jay Jones, the Chairperson of the Landscape and Maintenance Committee, reminded the Board that Matt Reeves is no longer under contract to maintain the common areas, and that the temporary substitute, Outdoor Concepts Incorporated, is under contract on a month-to-month basis through the end of June.  Jay solicited three bids for landscape maintenance.  Jay is pleased with Outdoor Concepts, and recommends that the Board retain them, provided they are willing to reduce their rate.  The Board unanimously voted in favor of Jay’s recommendation.  Jay will contact Outdoor Concepts to learn if they are agreeable to the reduced rate.

 

 

Jay Jones noted that expenses may be over budget by about $1000 due to an overlap in work caused by switching companies.  Tru-green Chem Lawn is currently under contract through 12/31/07.  Their responsibilities will be enveloped, starting 1/1/08, within the new maintenance contract.

 

Discussion of Old Business by Ed De Iulio

  • A partial response to Ed’s letter to the Director of Public Works in Clemson relative to missing and faulty street signs was received.  On Magnolia and Red Maple Way, the signs have been corrected to reflect the correct streets.  The peeling lettering was replaced at the intersection of Sycamore Way and Red Maple Way.  However, a sign remains incorrect on Riverbirch Run, a sign is missing at the northern intersection ofRed Maple Way and Riverbirch Run, and a sign is still missing at the intersection of Knollwood Drive andCountry Walk Lane.
  • Subdivsion covenant violations were discussed.
  • Jay Jones confirmed that an island on Country Walk Lane needs mulch, and that the 51 cubic yard estimate for $1836 is reasonable.  If funds are available later in the year, the mulch will be purchased.
  • Ed reported that the cost of removing the doghouses, and reroofing the Clubhouse is $7300.  This cost includes removing the old roof, and applying 30-year architectural shingles.  Based on the potential damage of a leaky roof and the unsightliness of the doghouses, the Board approved this expense, providing the contractor gives a firm quote.  This decision is in accordance with Section 4.03 of the covenants.  Work on the pool side of the roof will be conducted on Wednesday morning, since this day will least inconvenience the subdivision, as the pool is chemically shocked on Tuesday evenings.

 

Discussion of New Business

  • Steve Lapham will contact the swim team to make sure that they are aware the pool is shocked Monday evenings and that, as a result, swimming is not permitted on Tuesday mornings.  Note:  the Board later learned that the pool is shocked on Tuesday evenings.  Since the swim team does not use the pool on Wednesdays (because of the pool chemicals), this is not a problem.
  • Two issues with dogs were discussed.  First, dogs are often permitted to run unrestrained.  Second, dog waste is found throughout the subdivision, particularly on vacant lots.  A letter will be sent to all homeowners, reminding them of city regulations requiring the restraining and clean up of animals.

 

 

Website – the Board will have the password and the ability to modify the website.  Tim Burg will be primarily responsible, with Warren able to change minutes.  Within a few days, the current newsletter is expected to be on the website.

 

Pig pickin is scheduled for 6/22.  More people are needed.  This subdivision activity will be better advertised.

A ladies night out is being planned for the Galley restaurant at Portman Marina, for July 17.

Owners at 307 Red Maple Way submitted fence plans, and they were approved.

 

Rules and Regulations Committee

Did not reply to the President’s e-mail requesting inputs to the meeting.
