Board Meeting – January 23, 2012

The meeting of the CWHOA’s Board of Directors began at 7:30pm. Board members Murali Sitaraman, Lee Crandall, Scott Templeton, and Susan Zhang attended.

Treasurer Susan Zhang reported the current income, expenses, and account balances of the CWHOA. She reported that approximately one third of the property owners had paid their annual dues for 2012. Pres. Sitaraman agreed to send an email to all residents to remind them of the Jan. 31 deadline for payment of dues.

President Sitaraman discussed maintenance of the common landscape and trail. He and Secretary Stephanie O’Brien will speak with Jamie of Southern Dreamscapes about the common areas to be mulched or planted with sod or seed.

Board Member Templeton reported that the planting of the former Kudzu area along Berkeley Dr. between the entrance and Frontage road was finished. Pres. Sitaraman reported that James Bevis had finished installation of previously approved irrigation.

Board Members unanimously authorized James Bevis to conduct minor clean up along Berkeley Dr. from the newly planted area up to about Frontage Rd. where the landscaping for the new pedestrian walk and bridge will be done.

Board Members unanimously approved to spend approximately $400 to have the brick retaining wall near the front corner of the clubhouse reinforced so that it would not separate from the clubhouse wall.

Board Members also unanimously authorized Merritt Brothers to plant trees and shrubs along Berkeley Dr. between the entrances to CW and the Downs for a budget not to exceed $6,000. Scott will contact James Bevis to develop a landscape plan and mark spots for planting.

Board Members unanimously agreed to have cracks sealed and top coated in the driveway in front of the clubhouse and the adjacent parking lots. No patching or major repairs will be done at this time. One estimate of the work is $4,300.

Pres. Sitaraman suggested that the Board set aside money in the 2012 budget for the following items: 1) pool cover, 2) clubhouse HVAC, 3) tennis court renovation, and 4) gravel for trail.

Treasurer Zhang also presented a tentative budget for 2012. Various items were discussed and a few were amended. Templeton agreed to work with Zhang to revise the budget according to an increase in the number of set asides and expected landscaping.

The Board of Directors thanks Susan Sitaraman for organizing a community outreach committee, contacting residents with unknown email addresses to provide them, calling the utility companies to have their lines properly marked before tree installation, and numerous other services she has provided to the neighborhood.

Scott Templeton served as interim secretary and submits these minutes. The meeting adjourned at 9:30pm.
