Board Minutes for Country Walk Homeowner’s Association February 19th 2014

Meeting was convened at the country walk club house at 6:30pm on February 19th 2014. Meeting was called to order by Vice President Chris Post, Jerry Edwards, Rocco Cioffolett and Miren Ivankovic was present. Art Wray was absent.

Minutes of January 29th 2014 Meeting were presented, discussed, Motion to approve made by Chris, seconded by Rocco, all in favor.

At the previous meeting Dreamscape landscaping provided an estimate of $10,120 for 220 yards of mulch. Later they revised their bid to $14,980 based off their increased estimate of the mulch needed (excluding the playground which they did not include in their bid). Jerry Edwards and Chris Post talked with several providers; they received a bid of $9,000 by Residential Services of Seneca to do the mulch in the subdivision which was the lowest bid provided. After discussion of the different grades of mulch, Rocco made a motion to contract with Residential Services of Seneca to use Double Ground Dyed dark brown mulch for the front half of the subdivision and double ground (undyed) mulch for the back of the subdivision starting at Jay Jones house at a cost of $9,000 (including the playground). Miren seconded the motion. During discussion it was brought up that we should check if we can get playground certified mulch for the playground. All were in favor. (Note; after checking with Residential services they will provide certified playground mulch for the playground at no extra cost.)

At last meeting it was approved to build 1 ½ courts with lights. After the last maintenance agreement came in it was discovered that for an additional 692.00 per year (5 years) we could have 2 courts without lights, a Bakko Backboard a multi-purpose net for one of the courts to allow badminton and volleyball to be added without any additional costs, along with electrical dropped and holes preset for lights if future boards wish to add them. Total cost for the courts will be 66.053.00 which is a guaranteed price. A motion to approve was made by Miren, to approve 2 courts instead of the one and ½ previously, Seconded by Chris, all in favor.

Motion made to redo the pools including, new tiling, new racing lanes, new plaster, and new chlorination equipment to automate the system, the total price was $36,750 for the main pool and $1,750 for the tiles in the kiddie pool. For a total of $38,500 by Aqua pool of Greenville. Jerry made the motion to accept the bid seconded by Chris, all were in favor. (Note Jerry contacted Aqua Pools and was able to get a savings of $750.00 on the tiles or the kiddie pool. Total cost should be $37,750) tiles will be provided by Aqua Pools and the board will decide on what colors.

Note: Pool costs increased by $10,880 for new motor and impeller for big pool and new motor for baby pool. Also included was finishing the pool depth signs and finishing the Kiddie pool with plaster due to the past damage. Due to everyone on spring break, email vote was taken and all were in favor of the additional costs.

Pool Operator/ Maintenance person:

During discussion with Bill Matheson, it was learned that he did not feel comfortable working with the new equipment we would be installing. Chris and Jerry contacted aqua pools and learned that we should have our own certified pool operator. (CPO). The course is $500.00 and would take 2 days to become certified. By having our own person we would see the $12,000 we pay for Bill Matheson cut to between 3,000- $4,000 annually. This savings is over 12% of our total cost and led the group to agree that we need to explore hiring a maintenance/Pool Operator person for the subdivision. Jerry made the motion that we should run advertising and interview potential candidates, seconded by Rocco, all in favor.

Note: New maintenance person Scott Richardson was hire on April 5th 2014 by phone vote, all in favor.

Clubhouse steps and tile floor are in need of repair. All members agreed that we would get pricing by next meeting. (Note: Jerry met with floor person and will be getting pricing for linoleum, tile and wood flooring. By next meeting)

Note: new wood floor installed and outside pillars, doors, pool bathrooms and downstairs bathrooms fixed and painted. Total cost $7,000. Phone vote taken all in favor.
